General Questions:

*How many guest will your venue accommodate?

Event Hall 300, Courtyard 200.

*Is my date available?

All booked events will be listed on our website calendar.

​

*How many hours are included in the rental?

13 hours the day of, 2 hours for rehearsal.

​

*Do you host more than one event on the same wedding day?

No, it's your special day!

​

*How far in advance can we reserve a date?

24 months

​

​*What is the address?

Set-Up and Breakdown:

*Who is in charge of set up, break down and cleaning of the wedding?

The client is responsible for set-up (decorating), cleaning and break down (with the exception of tables and chairs.)

​

*How long do we have for set-up and break down?

You will have access at 9:00 AM the day of your event to begin set-up. We strongly suggest you allow at least one hour minimum for break-down and cleaning.

​

*Can we decorate or store items prior to the wedding day?

Unfortunately, no.

​

*Can we use candles or sparklers?

Not without written plan from the client and approval for Holland Brooks.

​

* Can we use confetti or rice?

Unfortunately no.

​

*Does Holland Brooks have decorations for rent?

We do.

​

*Can we customize our decor?

Absolutely, so long as decorations fall with facility guidelines and are shared with coordinator prior.

​

*Who is responsible for the seating chart?

The bride and groom

​

Vendors and Staffing:

* Do you have a list of preferred vendors?

We do. You can access our list from our website menu.

​

* Do you provide in house catering? Or do you have a list of preferred caterers?

We have a list of preferred caterers.

​

* Can we use outside vendors?

Yes, however they will have to provide proper insurance prior to the day of the event.

​

* Do you offer on-site wedding coordinator?

Yes

​

* Do you offer security services?

We require security for each event and they must be from our preferred list.

​

*Is there a service charge for staff, and what is your tipping policy?

All service staff fees are included at no additional charge within the scheduled time. Tipping is allowed

​

*What is your alcohol policy?

Alcohol policy will be provided with the rental agreement.

​

*Can we bring our own band or DJ?

Yes, however they will not have access to house sound or lighting system and will need to bring their own equipment.

​

* What time can our band or DJ begin setting up?

9am of the wedding date.

​

* Is there a time that we have to stop playing music?

10pm

​

Logistics

*How much parking is available at the venue?

Venue parking is limited to surrounding public parking, however off-site parking and shuttles are optional.

*Are children allowed, and are there changing tables for babies?

Yes, and yes.

​

*Are there separate spaces for cocktail hour, ceremony, and reception?

Yes

​

*Are there hotels near the venue?

Yes and we have preferred hotels that also offer events discounts.

​

Payments and Insurance:

*What’s the total cost of the venue, and what’s included in that fee?

Cost will vary based on day and season.

​

*How much is the deposit?

Booking fee $1000 when selecting the date, $1000 deposit.

​

*When is the deposit due?

Upon execution of rental agreement.

​

*Is the deposit refundable?

Unfortunately, no.

​

*What’s your cancellation policy?

90 days prior to the event

​

*Are there payment plans available?

Yes

​

*What are the insurance requirements for me and my vendors?

Clients and vendors all must carry appropriate insurance and list Holland Brooks LLC as additional insured. If no appropriate insurance is provided vendors will not be allowed to participate. Holland Brooks has preferred insurance carriers if needed.

*Do you have liability insurance?

Yes

*Are there different rates for different days of the week?

Yes

​

*Do you have different rates for different seasons?

Yes

*Can I see a sample contract?

Upon request.

*What’s not included in your contract that couples typically need to book or pay for on their own? Aside from any upgrades selected during the contract. Insurance, security, and alcohol packages
